Privacy Notice

This notice explains how SAVE INSTANT TRADING INC handles information submitted through the SaveInstant Trade sourcing request form.

Who is responsible

SAVE INSTANT TRADING INC is the operator responsible for the business decisions about information collected through this form.

Information collected and why

When you submit a sourcing request, we collect the business and contact details you provide, your role and location, product and quantity requirements, destination, timeline, optional price or budget references, other details you choose to provide, your privacy acknowledgement, optional marketing choice, and a reference number and submission time. We use this information to review and respond to your request, assess service fit, manage the enquiry, and prevent duplicate or excessive submissions.

The privacy acknowledgement is required to process the specific request. Marketing consent is separate and optional, and is not selected by default. We are not currently sending marketing updates. Do not submit payment-card or bank details, identity documents, confidential files, or sensitive personal information.

How information is stored and processed

The Site is hosted through ChatGPT Sites. The RFQ form runs on the Site’s server runtime, and enquiry records are stored in a Site-managed D1 database provided through the hosting platform. OpenAI operates the Sites service and may process submitted information as needed to host, maintain, secure, and support the Site. Cloudflare infrastructure provides the D1 database service. These providers process information to deliver their services under the terms and privacy documents applicable to the Site account.

This Site is not configured with a Canada-only data-location guarantee. Platform storage, backups, support, or technical processing may occur outside Canada. The specific locations and transfer arrangements depend on the hosting configuration and account terms; we do not promise that all information remains in Canada.

When information may be shared

We do not automatically send your enquiry to suppliers. If we later consider sharing relevant details with a supplier or another service provider to assess a specific sourcing request, we will explain what is needed and obtain appropriate authorization. We may also disclose information where required or permitted by law.

Retention and deletion

We retain an enquiry while it is being reviewed and handled. Our operating schedule is to review enquiry records monthly and delete or de-identify an inactive enquiry no later than 12 months after the last meaningful contact, unless a longer period is needed for an active engagement, a legal obligation, or the establishment or defence of a legal claim. The 12-month period is our chosen operating limit, not a period set by law.

To request access to, correction of, or deletion of information, email trade@saveinstant.com and include your RFQ reference if available. We may ask for reasonable information to confirm your identity and locate the record. We will review and respond under the privacy laws that apply. Some information may need to be retained where the law permits or requires it.

Applicable privacy laws and complaints

Our business address is in Alberta, Canada. Alberta’s Personal Information Protection Act (PIPA) may apply to our handling of personal information. Canada’s Personal Information Protection and Electronic Documents Act (PIPEDA) may also apply, including to certain cross-border commercial activities. The law that applies depends on the circumstances. You may contact us first with a privacy concern; you may also contact the privacy regulator with jurisdiction over your complaint.

Safeguards and changes

We use reasonable safeguards for the information held in the Site, but no online service can guarantee absolute security. This notice describes the current website and RFQ process. We will update it if our collection, use, sharing, or hosting arrangements materially change.
